Delegate information

We look forward to seeing you at the 9th International IMW Symposium in June. Your ticket has been emailed to you. If you have not received this, please email skirkpatrick@mastersofwine.org

 

Dress code

There is no dress code for the Symposium, but we assume the vast majority of delegates will chose to wear smart but casual business clothes. The welcome dinner will take place in Logrono’s Bullring which has a dirt floor, so please don’t wear your favourite shoes. The last night gala dinner is not black tie, as you won’t have time to return to your hotel to change. But please feel free to dress up.

Dietary requirements

The hosts of all meals during the Symposium have been ask to provide food that will be suitable for people with different dietary requirements, including vegetarians and those with gluten intolerance. 

 

Airport transfers

We will be providing shuttle buses to and from Bilbao airport on the first and last day of the Symposium. You don't need to book, these shuttles will be subject to availability and the journey should take approximately two hours.

Bilbao is a relatively small airport with a single exit. There will be a crew member waiting for you at the arrivals gate, wearing a Symposium t-shirt and holding the Symposium shuttle bus sign. The crew will direct you from the arrivals gate to the next available bus.

Buses to Logroño will leave approximately every 30 minutes from 8:30am until 1:30pm on Thursday 14 June. The buses will stop at a central point in Logroño near the majority of hotels before arriving at the Riojaforum.  A bag check facility will be available at Riojaforum on Thursday for those arriving later in the day.

Buses will return to Bilbao airport on Sunday 17 June from 1:30pm (subject to availability, no booking required). A bag check facility will also be available at the Riojaforum on this day, so you can store luggage before leaving.

Alternatively, there are public trains, buses and taxis available to and from Logroño. It's a small town and taxi services are limited, so we strongly recommend booking in advance if you would like a private transfer.

Getting around Logroño

Logroño is a small town, and the majority of hotels are within a 15 to 20-minute walk of the Riojaforum. If a summer stroll is not your thing, we will be providing a complimentary shuttle service from the centre of Logroño to the Riojaforum on Friday, Saturday and Sunday mornings, which will arrive in time for both the breakfast sessions and also the first full sessions of each day’s programme. If you are driving, there are a number of commercial car parks and on-street parking near the Riojaforum.

 

Privacy

Your name and country of residence will be used to compile a delegate list. No other information will be used. This will be used by the Institute of Masters of Wine (IMW) as event organisers and other Symposium event organisers; venues and accommodation providers for the purpose of room bookings (if applicable). This list may also be shared with other delegates at the IMW’s discretion. If you are a speaker, your presentation documents may be loaded to the IMW website or provided to delegates and others to view after the event. If you do not wish your details to be used for these purposes, please contact beaton@mastersofwine.org before the event.

 

Photography and recording

As a delegate or speaker, you authorise and grant the IMW the right to:

  • record you (picture and voice) in photographs and on film for audio and visual production
  • create recordings into a photo gallery and / or film
  • use your name and voice for the recording
  • screen the recording online, including on social media

The IMW will own all copyright to any photography or filming used and no monies will be given to delegates or speakers.

While under no obligation to do so, we will consider any reasonable request not to use or to stop using a particular film or photograph. Such requests should be made in writing to skirkpatrick@mastersofwine.org.

 

By registering and attending the Symposium, delegates and speakers agree to the terms and conditions set out above. Should you not wish to grant IMW the above rights, please contact us prior to the event.
